SWE 2025-2026 Executive Positions

Executive Trio

  • Role Description: 

    • The President of SWE is responsible for overseeing the SWE UW officer team. They will be responsible for representing the SWE mission and values throughout the term as the face of the section.

    • Responsible for the leadership and development of executive officers and teams.

    • Oversees the execution of events through collaboration with VPs and teams, especially the SWE signature events such as EWI, SWE Hacks, EOY…

    • Ensures collaboration between the GradSWE team and the Undergraduate team

    • Represents team at national/regional conferences and coordinates planning as needed

    • Coordinates planning for the WE national conference

    • Collaborates with COE programs and RSOs as a SWE representative

    • Plans and  leads, or supports other VPs to lead monthly general meetings

    • Oversees election committee at end of year

    • Pull membership roster (from SWE leadership portal) each month

    • Create end-of-year report for submittal 

    Meetings Required to Attend:

    • Exec Meeting (weekly)

    • General Meeting (monthly)

    • One-on-one with advisor/counselor (weekly)

    • Executive one-on-ones (as determined by each Executive)

    • Cabinet meeting with Secretary, Treasurer, and advisor (as scheduled)

    Hours per week: 15 hours per week


    Starting Time:
    Onboarding period from election until the official term starts on JULY 1st 

  • Role Description: 

    • Consult/work closely with the President, advise on conflict resolution, DEI & related initiatives, member desires, etc.

    • Respond to or forward (as applicable) emails sent to swe@uw.edu

      • Keep the swe@uw email clean, eg unsubscribe from old newsletters and responsibly handle spam messages

      • Keep the team informed of trends in emails from members (example: a lot of members are reaching out to ask questions about how to pay for EWI tickets, maybe there is some confusion)

      • Send out advertising emails for events and opportunities

    • Handle room reservations for events, in coordination with VPs of CR, CO, and Membership

    • Set up and manage team communication channels (e.g., Slack, Teams, Google Drive); 

    • Manage master list of SWE emails (including passwords) & contact info

    • Facilitate internal processes and long-term planning such as calendering, action item logs

    • Create and maintain a membership mailing list via MailChimp 

    • Close collaboration with the PR team for website updates and advertising email 

    Meetings Required to Attend:

    • Exec meeting (required weekly)

    • General Meeting (required monthly)

    • Cabinet meeting with Secretary, Treasurer, and advisor (as scheduled)

    • PR team meetings (as needed)

    Hours per week: 10 hours per week

    Starting Time: Onboarding period from election until official term start on July 1st

  • Role Description:

    • Holds responsibility of SWE's financial accounts & transactions, including the filing of organizational,  state, and federal tax returns/reports 

    • Manages financial inflows & outflows

    • Organizes and confirms branch & event budgets

    • Ensure the mission of the organization is financially supported, without extraneous spending.

    • Promptly respond and complete financial inquiries and item purchasing 

    • Manage inventory (e.g., HUB, Engineering Library)

    • Be an active participant in the Engineering Student Council 

    • Oversees additional financial support requests including fundraising  

    Meetings Required to Attend:

    • Exec Meeting (weekly)

    • General Meeting (monthly)

    • Cabinet meeting with Secretary, Treasurer, and advisor(as scheduled)

    • Budget Planning & Review with Branch VPs (quarterly) 

    • Attend Engineering Student Council meetings once a month

    Hours per week: 5+ hours per week

    Starting Time: Onboarding period from election until official term start on July 1st

 

Vice Presidents

  • Role Description:

    • Lead and oversee general officers and committees

      • 1 Social Media Content Director

      • 1 Social Media Logistics Director

      • 2 Graphics Directors

      • 1 Website Director

      • 3 PR Committee Members 

    • Oversee social media platforms and communication for SWE (Instagram, TikTok, LinkedIn, website, newsletters, flyers) as well as graphics on Figma or Canva, and other creative content

    • Manage advertising process (monthly requests, receiving approval on graphics)

    • Ensure consistent branding across all team-specific PR teams

    • Lead a bi-weekly whole team meeting and individual meetings as needed

    • Work with the executive officer team

    • Work closely with the Secretary to ensure that all populations & distribution lists are covered for each event/opportunity

    Meetings Required to Attend:

    • Exec Meeting (weekly)

    • General Meeting (monthly)

    • Bi-weekly PR team meeting

    • Budget Planning & Review with Branch VPs (quarterly)

  • Disclaimer: Must already be a director or committee member in Community Outreach branch to be considered for VP of Community Outreach position.

    Role Description: 

    • VP of Outreach leads and oversees middle school and high school outreach branches for SWE at UW. 

    • During summer, they will work with the Outreach directors to plan and set goals for the upcoming year. 

    • They help ensure that all programs’ goals are being met and are effective for K-12 students, specific to the type of program and demographic being served, mindful of the outreach mission:

      • Committed to making STEM accessible and enjoyable to students from all backgrounds across Washington state through interactive, engaging, and inspiring programs and initiatives.

    • Aside from representing SWE at events/meetings and being an active member of the SWE Exec team, this VP is responsible for helping build community and leadership skills in their outreach team and helping teams solve any problems that arise during the year.

    • They will seek out opportunities to grow SWE’s Outreach partnerships and reach in the community.

    • Partner with “neighboring” organizations (e.g., College of Engineering, GradSWE, WiSE Collective) to efficiently deliver programming

    Meetings Required to Attend:

    • Budget Planning & Review with Treasurer (quarterly) 

    • Outreach team meeting (weekly)

  • Disclaimer: Must already be a director or committee member in Corporate Relations branch to be considered for VP of Corporate Relations position.

    Role Description:

    • Serve as the main point of contact between SWE at UW and corporate representatives.

    • Oversee key initiatives:

      • Industry and professional development events

      • Networking opportunities for SWE at UW members

      • Maintaining professional connections for SWE at UW.

    • Lead a team of officers to organize signature events:

      • Evening with Industry: Semi-formal recruiting dinner

      • SWEHacks: Beginner-friendly hackathon with industry sponsors & speakers

      • SWEets with Industry: Networking mixer for industry connections and advice

      • Company-Led Events: Smaller informational and professional development events

    • Major Responsibility:

      •  Send the Corporate Mailer (sponsorship package) to companies during the summer (July/August) to secure funding for SWE programs. Work with the club advisor to outline sponsorship opportunities (monetary donations, event participation, etc.).

    • In addition to representing SWE at events and meetings, the VP helps build community, fosters leadership skills within the Corporate team, and provides strategies for event success and creativity.

    • Budget Planning & Review with Treasurer (quarterly)

  • Role Description:

    • VP of Membership leads and oversees general officers and committees:

      • Recruitment Director

      • Academic Directors

      • Social Directors 

      • Academic Committee Members

    • Your role in SWE is to build community! We do this by planning and hosting various fun events with the intent to build connections within the membership.

    • Main Responsibilities:

      • Plan SWE Families Program recruitment for Fall and Winter Quinter and oversees Family Leads and Family Members

      • Support Dawg Daze and SWE recruitment efforts (Engineering Launch and RSO Fair) throughout the year

      • Assist officers in reaching out and collaborating with other engineering affinity groups (NSBE, SHPE, Women in ChemE) and RSOs

    • Aside from overseeing your officers and their teams, you will also be engaged with the executive team and constantly learn how to increase attendance and membership in SWE

    Meetings to Attend:

    • Exec meeting (weekly)

    • General Meeting (monthly)

    • Budget Planning & Review with Treasurer (quarterly) 

    • MR team meeting (biweekly)

    • One-on-one with general officers (as needed)

    • Meeting with advisor(s) (as needed)

GradSWE

  • Role Description: 

    • Oversees a committee of 4 officers: 

      • Professional Development

      • Outreach

      • Academics

      • Public Relations

    • Spearhead collaborations with undergrad SWE and other RSOs on campus

    • Organize new graduate student orientation presentations for all engineering departments

    • Provide committees with resources to host events

    • This VP’s role is to build community within gradSWE members!

    Meetings Required to Attend:

    • Exec meeting (weekly)

    • Budget Planning & Review with Treasurer (quarterly) 

    • GradSWE meetings (biweekly)


    Hours per week: 2-5 hours per week

Election Timeline

  1. Elections Announced

    Wednesday 3/5

    At our March General Meeting on March 5th, we will announce SWE’s 2025 election information as well as the Meet & Greet event with the current SWE Executive team.

  2. Exec Elections Meet & Greet:

    Monday 3/10 @ 2-3 PM

    During this time, learn about what it’s like to be a SWE Executive Officer from the current team!

    We will host a meet-and-greet with the executive team on Monday, March 10th, from 2 to 3 PM. This is a great opportunity to ask questions about this experience.

  3. Executive Application Opens:

    Monday 3/31

    On Monday, the SWE Executive position application form will officially open. You can find the application link on this site when it is live.

    Notes about this year's elections: 

    • You may apply for up to two Executive positions.

      • If you are the only candidate for the 2 positions you applied for, we will consult you about the situation.

    • If you apply for an executive position and do not receive the position, you may still apply for a general officer position when they open in the fall.

    • Candidates are REQUIRED to participate in a live Q&A session on Tuesday, April 22nd from 5 to 7:30 PM (Location TBD).

    • Our membership base will complete voting on executive positions by Wednesday, April 30th.

  4. Application Closes:

    Monday 4/14 @ 11:59PM

    The application deadline is Monday, April 14th @ 11:59 PM. Be sure to submit your application before the deadline to be an eligible candidate.

  5. Participate in a Live Exec Election Q&A Panel

    Tuesday 4/22 @ 5-7:30 PM

    Candidates are REQUIRED to participate in a live Q&A session on Tuesday, April 22nd from 5 to 7:30 PM (Location TBD). The voting link will be found here.

  6. Voting Closes

    Wednesday, 4/30 @ 11:59

    SWE Members will then vote for the executive team, and the voting will close at midnight on Wednesday, April 30th @ 11:59 PM.

  7. Wait for the Results!

    After 4/30

    If you have been selected, you will be notified of your role! Newly elected executive members will be required to attend a mandatory in-person retreat on Saturday, May 10th, from 9:30 AM to 4:00 PM.
